2. Information We Collect
We collect information you provide directly to us:
- Account Information: Name, email address, phone number, and password when you register.
- Expense Data: Expense descriptions, amounts, dates, categories, and receipt images you submit.
- SMS Messages: Text messages you send to your assigned ExpenseAI number, including expense descriptions and receipt images.
- Communications: Messages you send us via chat, email, or SMS for customer support.
We also automatically collect device information, IP addresses, and usage data when you use our service.
3. SMS Messaging
SMS Consent & Opt-In
By providing your phone number and checking the SMS consent box during registration, you expressly consent to receive text messages from ExpenseAI, including:
- One-time passcodes (OTPs) for account verification and two-factor authentication (2FA)
- AI-generated responses to your expense submissions via SMS
- Receipt categorization confirmations and expense report updates
- Account notifications and alerts
Message frequency: Varies based on your usage. You may receive messages each time you text an expense or request a 2FA code.

How to Opt Out
Reply STOP to any SMS from ExpenseAI to unsubscribe from all text messages. You will receive a confirmation, then no further messages. You can also opt out in your account Settings under "SMS Notifications."
Need Help?
Reply HELP to any SMS for assistance, or email us at support@getaiadmin.com. Opting out of SMS will not delete your account.
4. How We Use Your Information
- Provide, operate, and improve the ExpenseAI platform
- Process and categorize your expense submissions via AI
- Send OTP codes for account verification and 2FA
- Deliver SMS responses to your expense texts
- Generate expense reports and analytics
- Respond to customer support requests
- Detect and prevent fraud or abuse
5. Information Sharing
We do not sell, rent, or share your personal information with third parties for their marketing purposes. We share information only:
- Service Providers: With vendors who process SMS (Twilio), payments, and cloud storage on our behalf under confidentiality agreements.
- Your Organization: Expense data is visible to your designated approvers or administrators if you are part of a team account.
- Legal Requirements: If required by law, court order, or government request.
- Business Transfers: In connection with a merger, acquisition, or sale of assets.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
6. Data Security
We use industry-standard encryption (TLS in transit, AES-256 at rest) to protect your data. Receipt images and expense records are stored on secure, access-controlled servers. Two-factor authentication is available and recommended for all accounts.
7. Data Retention
We retain your expense data and account information for as long as your account is active or as needed to provide services. You may request deletion of your account and data by emailing support@getaiadmin.com. SMS message logs are retained for up to 90 days.
8. Your Rights
You have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your data
- Opt out of SMS messages at any time by replying STOP
- Export your expense data in CSV or PDF format
9. Cookies
We use cookies and similar technologies to maintain your session, remember preferences, and analyze usage. You can control cookies through your browser settings.
10. Children's Privacy
ExpenseAI is not directed to children under 13. We do not knowingly collect personal information from children under 13.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email or SMS. Continued use of ExpenseAI after changes constitutes acceptance.
